The timing is an editorial target for organizing the work, not a service guarantee.
- Name the sponsor, day-to-day owner and final decision maker.
- Locate the current order form, statement of work, amendments and notice clause.
- Write the buying trigger in one sentence and identify the business service affected.
- Confirm the primary and backup incident contacts.
- Assemble the current asset, license and supplier lists.
- Record what is unknown, with an owner rather than an assumption.
Output: a one-page buying brief. It should state the outcome, scope, decision date, budget owner, constraints and evidence required for acceptance.
If nobody can say who approves containment or restores a critical service, elevate that gap immediately. A sales comparison can proceed later; a named interim owner is the more urgent deliverable.
